Import_Export Student Data - LEA tab

Lutheran schools can use the LEA tab of the Import/Export Student Data window to export Lutheran Student Census data.

The LEA census utilises the same logic as the Non Demographic Student Censes (STUCENS 3), see Running the Student Census - Australian Non-Government Schools report and the numbers in the reports should (as a general principle) align.

Inclusion criteria

Students must meet all of the following requirements to be included in the census. For information about field-level configurations, see the Output Mode field description below.

Field	Requirement	See...
Entry Date	Students must have an Entry Date field that is blank or on or before the census date.	Current Student Maintenance - Entry tab
External Student Flag	Students must not have the External Student Flag field selected.	Current Student Maintenance - Flags tab

Reference period	Students must have at least one of the following on a day in the reference period: Class attendance Absences factor (as calculated by the Absence Events Daily Calc) of less than one.
Status	Students must have a status selected in the Status field with a SynergyMeaning other than EXTERNAL or SHORTSTAY.	Current Student Maintenance - School tab - Status sub-tab
Year Level	Student year levels must be mapped to LEA values using the LEA external system of the Interface Settings window.	Using the Interface Settings window

Opening the LEA tab

To open the LEA tab:

Select Module > Students > Student Data Import/Export from the main menu.
The Import/Export Student Data window is displayed.

Tip: You can also access the student import and export functions by clicking .
Click the LEA tab.

LEA Output File field configurations

Report mode

Column	Heading	Description
A	STUDENTS Total (Religion)	Total number of students classified by religion.
		Configuration
		The religion of each student is defined using the Religion field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab. The Religion field is populated by the luReligion lookup table and the values of this lookup table must be mapped to LEA values using the LEA interface setting. See Using the Interface Settings window. Students are included in the count for a religion grouping when their religion has been mapped via Interface Settings to one of the LEA religion groupings below: - Lutheran - Other Christian - Other
B	STUDENTS Total (Gender)	Total number of students classified by gender.
		Configuration
		The gender of each student is defined using the Gender field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab. Students are included in the: - Male count when their selected gender has a SynergyMeaning of Male - Female count when their selected gender has a SynergyMeaning of Female.
C	ENROLMENTS (Primary)	Total number of students classified by primary year level.
		Configuration
		The year level of each student is defined using the Year Level drop-down list on the Status sub-tab of the School tab of Current Student Maintenance. See Current Student Maintenance - School tab. The Year Level field is populated by the luYearLevel lookup table and the values of this lookup table must be mapped to LEA values using the LEA interface setting. See Using the Interface Settings window. Students are included in the count that matches their selected year level.
D	ENROLMENTS (Secondary)	Total number of students classified by secondary year level.
		Configuration
		The year level of each student is defined using the Year Level drop-down list on the Status sub-tab of the School tab of Current Student Maintenance. See Current Student Maintenance - School tab. The Year Level field is populated by the luYearLevel lookup table and the values of this lookup table must be mapped to LEA values using the LEA interface setting. See Using the Interface Settings window. Students are included in the count that matches their selected year level.
E	NCCD STUDENTS THAT QUALIFY FOR FUNDING	Total number of students that qualify for disability funding in primary and secondary school year levels.
		Configuration
		The disability status of each student is defined using the Include in Export field on the Disability tab of Current Student Maintenance. See Current Student Maintenance - Disability tab. Students are included in the count for their respective school (primary or secondary) when they have a disability record with the Include in Export field selected. Note: Students are sorted into the primary or secondary count based on their year level mapping. See Columns C and D above.
F	BOARDERS (Religion)	Total number of boarders classified by religion.
		Configuration
		The boarding status of each student is defined using the Boarder drop-down list on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab. Students are included in the count when their selected boarding status has a SynergyMeaning of Boarder. Note: Students are sorted by religion based on their religious mapping. See Column A above.
G	BOARDERS (Gender)	Total number of boarders classified by gender.
		Configuration
		The boarding status of each student is defined using the Boarder drop-down list on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab. Students are included in the count when their selected boarding status value has a SynergyMeaning of Boarder. Note: Students are sorted by gender based on their gender mapping. See Column B above.
H	INDIGENOUS STUDENTS (Head count)	Total number of indigenous students.
		Configuration
		The indigenous status of each student field is defined using the Indigenous Student and Torres Strait Islander fields on the Flags tab of Current Student Maintenance. See Current Student Maintenance - Flags tab. Students are included in the count when either of the above fields are selected. Note: Students are sorted by gender based on their gender mapping. See Column B above.
I	OVERSEAS STUDENTS (Head count)	Total number of overseas students.
		Configuration
		Overseas students are defined using the Full Fee Flag on the Debtor tab of Current Student Maintenance. See Current Student Maintenance - Debtor tab. Students are included in this count when their Full Fee Flag field is selected. Note: Students are sorted by gender based on their gender mapping. See Column B above.

Student Preview

Select to preview the details of students included in the export in the Students Included in LEA Data Export window.

Census Date

Official date of the census.

Important: This field is used to determine whether students are included or excluded from the report. For example, students with a Leaving Date before this date are excluded from the report.

Age at Date

Date used to calculate the age of the students.

Apply Reference Period Check

Select this field to enable the reference period check fields.

Reference Period Days

Number of days in the reference period.

Important: Do not change the Reference Period Days field unless the Department of Education defines a new reference period. Currently, the census reference period consists of twenty school days (excluding weekends and configured non-attendance days such as public holidays) leading up to and including the census day.

Note: You can configure non-attendance days by setting the value of the Timetable Type field to D0 using the Calendar Events tab of Timetable Maintenance. See Timetable Maintenance - Calendar Events tab.

Attendance for File Type

Select this field to include students from a particular file type, such as Academic.

Note: You cannot select this field if you have selected the Absence Events Daily Calc field.

Absence Events Daily Calc

Select this field to include students provided they have at least one day in the reference period where their absence factor is less than 1.0.

Note: You cannot select this field if you have selected the Attendance for File Type field.

Year Level

Export records within the selected year level range.

File Name

File name of the export.
