VSN Request & Process Status Codes

Here is an explanation of N (New), U (Unknown) VSNs which need to be entered for new students without VSNs in Students > Student Maintenance > Codes (tab) > Government Student Number (Field):

N (New):

This is used for students who you believe have not had a VSN in the past, this would include any new students that come into prep or any students that went to school in another state prior to coming to Victoria.

U (Unknown):

Should be used when a student is believed to have had a VSN in the past, this is commonly used when students move from one school to another within Victoria and will retrieve their existing VSN.

Blank:

The Government Student Number field should never be blank, if your region is set to 'VIC' in the config file, the system will not allow you to blank this field out at all. A blank Government Student Number field should be rectified immediately as that student will not be sent to the VSR until a valid 'U' or 'N' is used.

Other Important Information:

The VSN service will always exclude students from Kinder and Pre-Kinder year levels as they are not required to have VSNs.
The service will also ignore any students with a student status using the Synergy Meaning of 'EXCHANGE' as Exchange students will not be required to have a VSN.

 

This is an explanation of what you may see in the System > Subscriber Status area within Synergetic:

Awaiting Reply:

Applied to students that have been placed in a VSN batch, they will appear in this grid until the batch that they are in has fully resolved with the VSR. This is shown in the status column and is represented by a number.

 

Here are the most common status numbers:

0Student has been placed in a batch, but that batch has not been sent yet. The send should not take a long time, if you notice that a student/students are stuck with a status of 0 for multiple days, the service may not be working correctly.
20The batch has sent successfully, the school is waiting for a response from the VSR in the form of a return batch.
50The student was sent to the VSR servers successfully, but the return batch contained an exception for this student. The VSR will contact the school to resolve the exception or will send a reconciliation batch with the correct VSN for that student. These can be common when a student's data within Synergetic does not match with the VSR's records.
100The batch has been successfully processed and responded to by the VSR
