Split Parents Tips

There is a lot to consider with Split Families and many ways a school may want to handle them; the most important aspect being the students(s) well being, student(s) contacts and billing. 

In the case of split families circumstances can change and it maybe better to always consider if you should set this up as you would if it was not amicable so as to always be respectful of privacy and court orders. 

Community Maintenance - Parents

In this module you will split the couple assign new Address IDs and consider Community Portal logins

  • Split the couple using the 'Break Spouse Link' Icon

NB: This should automatically update the Relations tab showing the new relationships of ex- PLUS

It will automatically update the Students Contact tab so that SC1 remains the ID it was originally and SC2 is created for the Spouse

  • Name tab - Update any changes to parents names
  • Household tab - Each parent will now require their own Address ID
  • Home Address / Phone / Postal Address tabs - Update changes to Addresses and  Phone Numbers

NB: consider if either their Address or Phone number(s) are now silent

  • Flags tab - Consider who should receive Publications and be included in directories
  • Other Tab - Review Network Logins and Portal Access and consider if these should be SINGLE and not JOINT logins

Community Maintenance - Student(s)

While the student may spend time a both parents place of residence, you still need to review which address is the students primary place of residence, their home address

  • Household tab - Consider which parents Address ID the student should be linked to

Debtors Maintenance

There are many ways to invoice split parents and the things to consider are whether or not you are wanting to invoice/debt recover individually AND  if there is new relationship(s) which affect what can been seen by new partners

  • Debtor tab - Consider if there needs to be an 'Override Name' if you are not doing Split Payments or Student Billing
  • Debtor tab - Consider if it should be 'Address mail to primary only' if there is a new relationship; blended family, it maybe worth consider only the biological parent should see the invoice
  • Split Payments tab - Consider of this is the neatest way to handle split parents. Each of the parents become debtors and an agreed split is done in invoicing
  • Statements tab - Consider whether or not there are any additional statement recipients

Student Maintenance

  • Each child in a family may have different requirements regarding who is the primary contact, who they live with, who is the debtor etc. Thus many items are actually set on the student record.
  • Debtor tab - Review which debtor the child is assigned to; in cases of split payments it should be the primary debtor
  • Debtor tab - Consider if you wish to use Student Billing over Family Billing, noting that this will affect Sibling Discount but there is a work around for this
  • Debtor tab - Consider if you wish to apply Sibling Discount or need to control it via the concessions tab

    NB : sibling discount is based on family position which is based on each student having the same SC1 contact

 

  • Concessions tab - Consider if you are handling Sibling discount via this tab
  • Deposits tab - Review if there are any Enrolment Deposits to be updated
  • Legal tab - Tick 'Parents Separated' if it is not already flagged. (If you tick parents separated this does not automatically break the spousal links between the 2 partners. You will have to do that in community maintenance)
  • Legal tab - Enter any information pertaining to the split including any court orders
  • Relations tab - Review the relationships and who should be contacted and how
  • Contacts tab - Review the flags and all emergency contacts
  • Emergency tab - Review all Emergency Contacts
  • Medical tab - Review all contacts including family doctor and dentist information
  • Photo tab - Consider; reflecting on any court orders, if child should be included in Publications or Advertising
