Future Student Maintenance - Courses tab

Use the Courses tab to maintain details of courses that the student is enrolled in.

Note: Tertiary institutions often use courses whilst schools generally use classes. See the Classes tab.Classes can be grouped into courses if required, and can be used where a school offers external courses under various payment options.

You can:

List courses a student is enrolled in.
Review the summary of financial information for the courses.
Maintain student course details.

Opening the Courses tab

To open the Courses tab:

Select Module > Future Students > Future Student Maintenance from the main menu.
The Set Future Student Search Criteria window is displayed.
Tip: You can also access the future student functions by clicking .
Search for the future student. See Searching for future students.
Click the Courses tab.
The Courses tab of the Future Student Maintenance window is displayed.

Future Student Maintenance - Courses tab key fields and buttons
Fields

Field	Description
File Type	Filter based on the file type of the courses. See File types in the Introduction manual. Courses can be either academic or co-curricular. You can: Do nothing to display academic courses (file type A) by default. Select the Not Selected option, from the drop-down list, to display courses of all file types. Change the file type selection to view courses in other areas.
Show Financial	Also display financial details about the course. Note: Click and click the Payment tab to view more financial details in the Course Details Maintenance window.

Grid area fields
The fields displayed depend on whether the Show Financial field is selected or not.

Field	Description
Type	File type for the course.
Course Code	Abbreviation for the course.
Description	Description of the course. This is populated from Course Maintenance.
Status	Current course status for the selected student. To maintain the status, either click: and update the Status field and update the Course Status field on the Enrolment tab.
Linked Course	Prior course that this course is linked to, if applicable. To maintain the status, click and update the Prior Course field on the Enrolment tab.
Status Date	Date the course status was updated. To maintain the date, either click: and update the Date field and update the Date field on the Enrolment tab.
Start Date	Start date of the course.
End Date	End date of the course.
Total Fees	Cost of the course. This field and the following three are only displayed if the Show Financial field is selected. See Show Financial below.
Charged	Total the student is charged for the course.
Paid	Amount paid for the course to date.
Owing	Amount owing for the course.

Buttons

Button	Description
	Launch Course Maintenance for the selected course. See Maintaining courses in the Curriculum manual. Tip: You can double click on the selected course in the grid, to display the Course Details Maintenance window. See Maintaining details of a future student's course.
	Add a course being undertaken by the student. See Maintaining details of a future student's course.
	Modify the: course status date that the new status applies description that applies to the student's course. Note: Also available on the Enrolment tab of Course Details Maintenance. See Course Details Maintenance - Enrolment tab (Current students). Tip: You can double click on the selected course in the grid, to display the Course Details Maintenance window. See Maintaining details of a future student's course.
	Delete the highlighted course from the student's courses.
	Maintain the course details for the selected student. See Maintaining details of a future student's course.
