Exporting results to Microsoft Excel for classes in a subject assessment

Modified on Mon, 20 Apr at 12:14 AM

You can export student results to Microsoft Excel for classes in a subject assessment using the Assessment tab of Student Results Maintenance. See Student Results Maintenance - Assessment tab.
The export can also include:

  • subject assessment areas that are not shown on the Student Results Maintenance window, such as intermediate calculation results
  • class code, class campus and various flags
  • fields related to each result, including assessment area comments
  • the Synergetic IDs for the students.

For example, two German A classes are linked to the German subject assessment (GEEA).

Note:
You may not have access to the Assessment tab as results for all classes can be edited.

To export student results to Microsoft Excel for classes linked to a subject assessment:

  1. Open the Assessment tab of Student Results Maintenance. See Student Results Maintenance - Assessment tab.
The Assessment tab of the Student Results Maintenance window is displayed.

Note: In the example shown above, the Weighted average and Decile assessment areas are not shown.
  2. Right click.
Tip: You may need to right click on an area of the window that does not have drop-down values.
    The following menu is displayed.
  3. Select Copy Grid Contents to Excel.
The Transfer Data into Excel window is displayed.
  4. Update the selections, if required.
Note: In this example we have selected the Include any fields not shown on the grid field.
  5. Click .
A Microsoft Excel spreadsheet is created with the student results data.

Field

Description

Include any fields not shown on the grid

Select this field to include any fields not shown on the grid. You might do this to check Synergetic's intermediate calculations separately.
By default, this field is cleared.
In the example used above, neither of the Weighted average or Decile assessment areas are shown on the All Students tab of Student Results Maintenance. This is due to the Show on Screen field being cleared on the Area sub-tab of Subject Assessment Maintenance.

See Subject Assessment Maintenance - Area tab - Area sub-tab.
If you select this field, the Weighted average and Decile assessment areas are included in the spreadsheet.
There are more fields available when exporting results for classes linked to a subject assessment. These include:

  • ClassCode. In this case, either GEEA1 or GEEA2 for each of the German A classes.
  • ClassCampus. In this case, S for the Senior campus.
  • Various flags, such as the Assessable flag.
  • Three fields for each result (integers from 1 to n):
  • R_n_Print, indicating whether the result is printed or not
  • R_n_Date, specifying the date that the result was entered
  • R_n_Comment, which includes any comments against the assessment area for the student.

Make ID the first field if it exists

Select this field to include the students' Synergetic IDs in the spreadsheet. They are included in the first column.
In the following general example, the Synergetic IDs are highlighted in column A.

Tip: This is useful if you need to import the values into Synergetic later on.
Clear this field to exclude the Synergetic IDs in the spreadsheet. In the following example, the students have been exported without their Synergetic IDs.
